Avoiding duplicates in Nudge

How Nudge detects duplicates

  • Contacts (email): When adding an email to a contact, Nudge checks that the same email is not already on another contact in the workspace. If it is, you will get an error so you do not create a second contact with the same address. Use that as a signal to merge or use the existing contact.
  • Imports: Imports use source IDs (e.g. from OnePageCRM, Pipedrive, Zoho). Re-running an import does not create a second contact or deal for the same source ID; it updates or skips. Deduplication within a single import (e.g. same email = same contact) depends on the import logic. Many imports match by email so the same person is not inserted twice.
  • Deals: Deals are keyed by pipeline and your workflow. There is no automatic "same deal name = duplicate" rule. Ownership and linking to contacts and businesses help you avoid creating the same deal twice by convention.

Best practices

  1. One email per contact: Add all email addresses a person uses to their contact record (work, personal, alias). When you log email via the dropbox, Nudge matches to that one contact and does not create a second.
  2. Search before creating: Before clicking "Add contact," search by name or email. If you find them, use that contact or merge instead of creating again.
  3. Link deals to contacts and businesses: Consistently link each deal to the right contacts and (when applicable) business. That makes it obvious if you are about to create a duplicate deal for the same opportunity.
  4. Dedupe after imports: Run through the import report. If the same person came in twice (e.g. different spelling), merge or delete the duplicate and attach any records to the canonical contact.
  5. Use businesses for companies: When multiple contacts belong to one company, create one business and link them. That avoids "Acme Corp" appearing as three different contacts and keeps deals attached to one account.

Nudge does not currently auto-merge duplicates. It prevents duplicate emails on contacts and uses source IDs on import to avoid re-creating the same record. Your discipline (search first, one email per contact, post-import cleanup) keeps the rest clean.
